
YouTube Channel Roles: Limited Access Can Protect Revenue Data

To give someone access to a YouTube channel, follow YouTube’s channel-permissions steps: sign in to YouTube Studio, open Settings, then Permissions and Invite, enter the collaborator’s email, choose a role, and click Done. The collaborator uses their own Google Account; you do not share your password.
Choose the role according to the work you want to allow. Editor (Limited) can upload and publish videos without access to revenue data. Viewer (Limited) can inspect channel performance without editing videos or seeing revenue. A standard Viewer can see revenue, so the word “viewer” alone does not keep earnings private.
Match the job to the role
Channel roles bundle capabilities together. Start with the task the person needs to perform, then account for the other powers that come with the role:
- Upload or publish videos: Choose Editor (Limited) when the producer does not need earnings figures. It has the production capabilities of Editor, including uploading and publishing, but cannot access revenue data. Choose Editor when viewing revenue is also part of the job. Neither role restricts the person to uploading drafts for someone else to publish.
- Reply to comments or moderate live chat: Editor (Limited) can act as the channel in comments and live chat without seeing revenue. It also carries video editing and publishing powers. The channel role list offers no separate comments-only permission, so weigh those additional powers before inviting a community collaborator.
- Review performance without earnings: Choose Viewer (Limited). It can view channel details and non-revenue analytics, but cannot edit videos or manage live streams. It can also create and edit YouTube Analytics groups, making it useful for an analyst who needs to organize performance data.
- Review revenue without changing videos: Choose Viewer. It can see revenue data, including chat revenue, while remaining unable to edit videos. This is a meaningful financial disclosure even though the role sounds read-only.
- Run operations and assign access: Choose Manager only when the person needs to manage permissions or delete published content. A Manager can view all channel data, upload and publish, and remove content, but cannot delete the channel. Those powers exceed a routine producer’s or analyst’s needs.
- Control the channel: Reserve the YouTube Studio Owner role for someone who needs its highest level of access, including the ability to delete the channel. That role cannot transfer ownership to another user. A change of primary owner uses the separate Brand Account process.
For someone whose only job is captions, Subtitle Editor is narrower than Editor (Limited). It can add, edit, publish, and delete subtitles on eligible videos without access to revenue data or broader channel information. It cannot upload ordinary videos or manage live streams.
Send the invitation and keep access proportionate
- Open YouTube Studio for the intended channel and go to Settings, then Permissions. Review the existing access list before inviting another person, especially if the collaborator has worked with the channel before.
- Select Invite, enter the collaborator’s email address, and choose the role. Check whether the task requires revenue visibility, publication rights, or permission management before selecting the standard or Limited version of a role.
- Click Done and have the collaborator accept the email invitation. Check Permissions afterward to confirm the intended account and assigned role.
When a project ends or responsibilities change, return to Permissions and use the menu beside the person’s role to change it or select Remove access. This matters for short engagements: a producer who needed publishing rights during a launch may later need only viewing access, while an analyst should not receive editing powers merely to read performance figures.
If a channel linked to a Brand Account still uses Brand Account roles for day-to-day delegation, its primary owner can move access management into YouTube Studio. YouTube’s migration instructions describe the Move Permissions flow and require the owner to assign channel roles and invite collaborators. That gives the team the more specific Studio roles used above.
Know what Limited access leaves available
“Limited” removes revenue visibility from the Editor or Viewer role; it does not make the rest of the channel confidential. Editor (Limited) can still edit and publish content, while Viewer (Limited) can still inspect non-revenue channel information. If either kind of access exceeds the person’s task, a Limited label does not resolve the mismatch.
Delegated access also has product boundaries. Invited users cannot use YouTube APIs, YouTube Music, or the YouTube Kids app through channel permissions. Giving someone a broader Studio role will not add those capabilities. For a collaborator whose workflow depends on an API or one of those apps, settle that requirement before assigning a role.
Transfer Brand Account control separately
Use Brand Account ownership settings when the goal is to hand over primary control of a channel linked to a Brand Account. For that YouTube channel workflow, YouTube’s Brand Account guidance requires the prospective primary owner to have held the Brand Account owner role for at least seven days. A YouTube Studio Manager role does not substitute for Brand Account ownership.
- Check whether the channel is connected to a Brand Account. If it is not, the Brand Account ownership-transfer path requires converting the channel first.
- In the Google Account’s Brand Accounts section, select the relevant account and open Manage permissions. Add the intended successor as an owner if necessary, then have them accept the invitation.
- After the owner waiting period, the eligible owner can choose Primary owner from the role menu and confirm Transfer. If that option is unavailable, check whether the channel must first opt out of YouTube Studio channel permissions to complete the transfer.
Keep this path for an actual handover. Everyday editors, managers, and analysts can be invited through channel permissions without changing who holds primary ownership of the Brand Account.
