How to Permanently boost Your Productivity

Hello!

How to Permanently boost Your ProductivityThere are two feelings that sit at opposite ends of the workforce spectrum, yet they produce the exact same result. The first is intense laziness driven by a lack of motivation and a general sense of apathy toward life. The second is an overwhelming feeling of busyness accompanied by fatigue and anxiety. Although these states are radically different, their outcome is identical: reduced productivity.

It is fascinating that two completely opposite mindsets and workloads can both lead to a drop in output. By examining the true meaning of productivity, we can understand why this happens.

Productivity arises when equilibrium meets consistent progress. It fuels high levels of success and performance. Laziness and anxiety do not.

How to Permanently boost Your ProductivitySo how can we escape these ruts and become consistent high performers? I sat down with my colleague Brendan Burchard, whose expertise on this topic is extensive. He has coached thousands of top performers and mentored thousands of everyday professionals on the subject. Let’s explore what he identifies as the most effective ways to boost productivity for the long term.

Productivity basics

Productivity starts with goals

Every worthwhile achievement begins with clear goals. Specific, measurable, and challenging targets guide daily actions and keep efforts focused. Goals not only motivate someone who feels unmotivated but also bring structure to the overloaded task list of someone experiencing stress. Goals are always valuable.

Productivity and energy are interconnected

How to Permanently boost Your ProductivityWe are not talking about caffeine-induced energy. We are referring to Energy with a capital “E”—the kind that goes beyond good sleep, healthy eating, and regular exercise (though these remain essential). True energy comes from positive thinking connected to every action and decision. Stay positive, and you will feel more productive.

Maintain focus and eliminate distractions

Focus and intention are closely linked. Every task should be performed with clear purpose rather than reaction. This is why many experts advise against checking email first thing in the morning—it shifts you into a reactive state instead of an intentional one.

How to Permanently boost Your ProductivityDivide your day into 45- or 60-minute blocks. Clear your mind, read something, or step away from work. When you return, you will feel refreshed and ready. Protect your focus by staying aligned with your goals.

Now that we have covered the fundamentals, let’s address a common question: how can you maintain a healthy work-life balance when your life revolves around productivity?

The reality of the work-life balance conversation

Many people view achieving perfect work-life balance as impossible. If that is your belief, you are already at a disadvantage. I have met numerous highly successful individuals who maintain a genuine sense of balance.

The average person’s day is typically split among work, family time, and sleep, with the remainder filled by miscellaneous activities. The real challenge is not time itself but intention. We often become overly focused on one area, allowing others to suffer.

Brendan shared a practical approach:

How to Permanently boost Your ProductivityDivide your life into ten key areas and rate your satisfaction in each one every Sunday:

  1. Health
  2. Family
  3. Friends
  4. Intimate relationships (marriage, partner, etc.)
  5. Mission/work
  6. Finances
  7. Adventure
  8. Hobby
  9. Spirituality
  10. Emotion

How to Permanently boost Your Productivity“I have most of the people I coach do this exercise,” he explained. “They assess where they stand and then intentionally address any weak areas the following week. When they rate themselves again the next Sunday, they usually see improvement and feel more balanced.”

Another key insight: you will never feel balanced if you are doing work you find meaningless. Either discover the meaning in your current role or seek work that feels more purposeful.

Take intentional breaks

Consider weightlifting as a metaphor. You exert maximum effort for a set period, then rest. The reason is clear: muscles need recovery to perform well on the next set.

How to Permanently boost Your ProductivityDo you schedule deliberate breaks to keep your mind sharp throughout the day, or do you push through without rest? Your brain needs recovery to sustain high performance.

Avoid working more than 45 to 60 minutes without a purposeful break that takes your mind off work. I like to read; Brendan prefers breathing exercises and light yoga. These short pauses help maintain energy levels and significantly improve work quality.

Productivity practices

How to Permanently boost Your ProductivityIncrease the outputs that matter

Identify the outputs that truly drive results in your field. For composers, it might be writing scores. For athletes, it could be taking shots. For writers, it is producing content. Determine your most important outputs—often called PQOs (Priority Quality Outputs)—and focus on them consistently.

For me, that means daily communication and networking. For Brendan, it is writing and publishing regularly.

Chart your five key moves

High performers think through their strategy before acting. If you could take only five major steps to achieve a goal, what would they be? Once you know your PQOs, these moves become clearer.

How to Permanently boost Your ProductivityBrendan’s five moves looked like this:

  1. Finish writing a high-quality book—nothing else matters until it is complete.
  2. Secure an agent.
  3. Start blogging and posting on social media.
  4. Create a book promotion web page.
  5. Enlist five to ten people with large email lists to help promote the book.

Identify your own five moves and execute them effectively.

Get exceptionally good at key skills

Skills encompass the knowledge and abilities needed to perform well, such as communication, problem-solving, or writing. Once you know your PQOs, you can pinpoint which skills will have the greatest impact.

How to Permanently boost Your ProductivitySkills improve with deliberate practice. Attach motivation and emotion to them, track your progress, and stay consistent. The encouraging reality is that productivity can be learned and become a lasting part of a successful, balanced life. Once you master it, you will experience greater clarity, progress, and fulfillment.
