While graduating an academic institution is crucial for your future, the reality is that graduation documents themselves have seen quite the change. In fact, it wasn’t more than 2-3 decades ago that there was a true focus on handwritten records. And nowadays, everything feels so digital and easy to access. It’s all natural and a true part of how things are evolving. But it goes to show the uniqueness of this process, and how things are changing, be it graduation documents or anything of that nature.

The handwritten record era

That era was important because schools and universities were keeping documents locally and they were writing everything by hand. It might have felt difficult to begin with, but it definitely showed how different things were, and why it was important to focus on other things as well. That’s the thing, handwritten records were great at the time, but nowadays, having a hard copy isn’t necessary. It’s become ancient tech at this point. Yet a lot of the major institutions still use these handwritten copies, and keep their standardized approach along with having digital systems as well.

Printing and standardization

When printing became a more comfortable medium, we soon started to use it and for a very good reason. Schools started using printed templates with spaces left for the student data, graduation date, official signatures, course of study and so on. In this printed ear, we had things like special paper being used.

Additionally, these institutions were using things like special paper, ribbons, institution logos and other things that would make the certificates appear formal, and also make them very difficult to copy, which was a major part of the process. A university diploma would have a consistent style, as that would reflect the identity of the institution, and that certainly made things better and more cohesive, a crucial part of the process. 

That brought standardization into the mix, which was a very good thing. It started to show the value of having a system in place, and hence the reason why templates were used for a really long time. It was an extremely important part of the process, and it brought a unique sense of reverence and quality, unlike anything that you would normally get in other situations.

Growth of transcripts and detailed academic records

At one point, the diploma alone started not being enough for a variety of purposes. So yes, the need for transcripts became apparent. It did take a little while until systems were created in order to take advantage of a transcript solution. But the reality is that transcripts became very useful. That way, graduation was not treated solely as a standard thing. Instead, the institution was documenting the progress that the student had over the years, and it was quite a unique approach to have towards this type of process. 

Transcripts also made it easier for another institution or a potential hire to figure out what the student learned, if the coursework met their specific needs and so on. It was a major part of the process for sure, and it showed how difficult some things were at that particular time.

Official seals and anti-fraud features

It’s very appealing for people to try and fake their credentials in order to access a job that would be hard to access otherwise. That’s why you can find people with a fake diploma these days. And yes, institutions know that, hence the reason why they decided to take action. It’s why you will notice that many of them started focusing on anti-fraud features.

There are quite a lot of features like official seals, embossed ones in particular that would help make the diploma much harder to fake. On top of that, they are using colored ink, watermarks, special fonts, holograms, secure paper and other methods. It truly is a nifty approach to use for these systems, and the best part is that it can help convey exceptional value and a tremendous return on investment for them.

Sealed transcripts also became a crucial thing here. That’s because universities started placing official transcripts in enveloped that were signed/stamped across the seal. If the envelope was opened, the recipient could see the document might have been altered. It’s important for educational institutions to try and maintain a high level of credibility, even if that is going to be a difficult thing to achieve. But yes, with professional anti-fraud systems, that becomes way easier to do.

Digitalization and digital transformation

At some point, the computer systems became so powerful that it was easy to understand how crucial it would be to use digital systems. And thankfully, this started working way better than expected. That’s why more and more software tools started appearing, which made it easier to create digital records even for academic documents.

While at first the process was a tad harder to do, the reality is that things became better and better. That’s why it was crucial to start and implement electronic documents, digital storage and other things similar to that.

Obviously, entering the digital era came with its fair share of demanding situations. That means protecting accounts, keeping any digitally stored items safe, and preventing any cyber attacks. But still, having a system in place to try and eliminate any of these issues, that quickly became a game changer, and it showed the true value of things in ways that would normally be very difficult to expect. 

And right after that, we saw other things, like digital credentials and online verification. Having such a system ready to use became crucial, because all of a sudden it became much more difficult to cheat and state that you graduated at a place where you never even attended one course.

It’s clear that graduation documents have changed quite a lot during the years. The reality is that things are changing immensely when it comes to how documents are used, and the graduation documents in particular have evolved quite a lot. Nowadays, we are seeing digitalization being a major part of the process pretty much everywhere. But it goes to show that digitalizing documents is a good thing, as it protects us, and it helps convey a much better result for both the institution and students.
